Editing Resource Information
Once you have entered your resource information into the application, you can edit your resource information (specifications) at anytime by using the Manage Your Resources wizard.
Business Rules for Editing a Resource
When editing a resource, you should be aware of the business rules that will be applied.
- If you have submitted quotes and then change your resource information, you MUST resubmit your quotes to ensure the updated resource information is included in the quotes (see "Resubmitting a Quote").
- Once a resource is submitted on a quote, you will be unable to delete the resource from the My Resources table—even if you withdraw the quote or withdraw the resource from an agreement.
- Once a resource has been submitted on a quote, you will be unable to edit the VIN/Unique ID/Serial Number, even if you withdraw the resource from the quote.
- For Mechanic with Service Truck resources, once you submit the resource on a quote, you CANNOT change the mechanic’s first and last name for that resource. If you wish to change the mechanic's name, you MUST create a new resource with the new mechanic name and a new Unique ID. Then, depending on where you are in the business process, you can do the following:
- Resubmit a quote using the resource with the new name (see "Resubmitting a Quote").
- Respond to a modification using the “Replace” option in the Agreement Modification Response wizard to replace the resource with the current mechanic’s name with the other resource with the new name (see "Replacing a Resource on an Agreement").
- If you make changes to the resource AFTER it has been awarded on an agreement and it DOES NOT change your resource type, your changes will NOT be applied to the agreement automatically. You will need to request a modification from your Contracting Officer to apply the resource changes to your agreement (see "Requesting a Modification to an Agreement").
- If you make changes to the resource AFTER it has been awarded on an agreement and it DOES change your resource type, your resource will be considered "disqualified." However, your changes will NOT be applied to the agreement automatically, but you will need to discuss the disqualification with your Contracting Officer. IMPORTANT When editing an existing resource, if you have a resource that qualifies as a resource category, but then later you go back into the 'Manage Your Resources' wizard and click the 'Save and Exit' button before completing all of the steps of the wizard, then your resource will now be considered as 'INCOMPLETE' even if all of the resource attributes have been completed on the 'Enter Resource Info' step of the wizard. For VIPR to consider your resource as complete and not a work-in-progress, you MUST complete ALL of the steps in the wizard; otherwise, the resource will be labeled as 'INCOMPLETE.' If you submitted a quote with a resource and then later access the 'Manage Your Resources' wizard to edit or view the resource information, if you exit the wizard without completing ALL of the steps of the 'Manage Your Resources' wizard, your resource will be considered as 'INCOMPLETE' even if all of the resource attributes have been completed on the 'Enter Resource Info' step of the wizard. However, this change to your resource will not affect your submitted quote with that resource. |
There are two ways you can edit your resource information: (1) if you are submitting or resubmitting a quote and need to edit your resource, you can edit/update the resource while in the Quote a Solicitation wizard or (2) if you just need to edit your resource outside of submitting a quote, you can use the My Resources tab to edit your resource.
Editing Your Resource During the Quote Submittal Process
- From the Home page, click on the My Quotes tab if you are resubmitting a quote or click on the Open Solicitations to submit a quote.
- In the table, in the Action column for the quote you wish to resubmit, click on the Submit icon (
) to open the Quote a Solicitation wizard. - In the View Solicitation step, click on the View the Complete Solicitation button to view the solicitation details, and then click the Continue button to proceed to the next step.
- In the Select Resources step, click on the Update button. The Manage Your Resources wizard appears within the Quote wizard.
- In the Enter Resource Info step, edit your resource information as needed.
- Click the Continue button to proceed through the View Summary and Finished steps of the wizard. You MUST complete all of the steps in this wizard for your resource changes to be saved.
- In the Finished step, click the Go Back to Quote step. You will be back in the Select Resources step of the Quote a Solicitation wizard and can proceed with your quote submittal (see "Submitting a Quote on a Solicitation" or see "Resubmitting a Quote").
Editing Your Resource Through the My Resources Tab
- Click on the My Resources tab.
NOTE: To sort information in the table, click on a column heading to sort by that specific information.
- In the table, in the Action column, click on the Edit this Resource icon (
). The Manage Your Resources wizard appears. - In the Classify Resource step, click the Continue button to move forward in the wizard.
- In the Enter Resource Info step, make your changes and click the Continue button to move forward in the wizard.

IMPORTANT - Enter your resource information with its attributes exactly as they are for that resource. VIPR will use the attributes you entered to determine the resource category type(s) that your resource qualifies for based on the national solicitation specifications. - In order to get your resource changes into the VIPR system, you MUST complete ALL of the steps in the wizard; if you exit the wizard before completing all of the steps, the updates you made for the resource will not be saved. |
- In the View Summary step, view the changes you have made.
NOTE: If incorrect information is displayed, then click on the Enter Resource Info step in the wizard to go back to the data entry screen to correct the information.
- In the Finished step, click the View Resource Information PDF button to view your resource details.
NOTES:
- Based on the resource information you edited in the Enter Resource Info step, your resource should qualify for a specific resource category.
- If your resource does not qualify for ANY resource categories, you may wish to re-check your resource information by clicking on the Enter Resource Info step. Unqualified resources will be labeled as "UNQUALIFIED" in the My Resources table. You will be unable to use an unqualified resource when submitting a quote to a solicitation.
- If your resource has been saved but not ALL of the steps in the 'Manage Your Resources' wizard have been completed, then your resource will be labeled as "INCOMPLETE" in the My Resources table, and you will be unable to use the incomplete resource when submitting a quote to a solicitation.
- Whenever you access the 'Manage Your Resources' wizard, you must complete all of the steps in the wizard even if you have not made any changes to your resource. VIPR needs you to get to that last step in the wizard so VIPR can determine what resource type your resource qualifies as, otherwise, your resource will be considered as 'INCOMPLETE' even if you have completed all of the resource information.

IMPORTANT If you change your resource's attributes AFTER it has been awarded on an agreement, depending on the type of changes you made, the message in the Finished step of the wizard will let you know the following: - If the changes you made will require a modification, there is a pending modification in progress, but you will still need to contact the Contracting Officer about the changes you have made. - If the changes you made require a modification, there is no pending modification in progress, so you can use the Send E-mail button to notify the Contracting Officer that you need a modification for your changes. - If the changes you made disqualify your resource from the agreement, then you will need to contact the Contracting Officer to discuss the disqualification. |
- Click the Exit button, and then click OK in the Confirm message to close the wizard. Your resource information is updated in VIPR.
